HR Operations and Administrative Specialist in Lisboa, Portugal

We’re looking for an enthusiastic and proactive individual to join our new office in Portugal, located at R. do Instituto Industrial 16, Lisboa. As the first member of the non-production team in this location, you will have the unique opportunity to create a welcoming and comfortable office environment. You will play a crucial role in supporting newcomers and colleagues relocating from other offices to Portugal, helping them settle in and feel at home. You will be an integral part of the whole document flow, taking on full responsibility for ensuring the seamless process of document work.


Quantori is an international team: we have colleagues who work not only from office but also remotely from all over the world.


Office management activities:
  • Welcome newcomers and relocated employees, assist with various issues
  • Ensure the smooth operation of the office: order necessary supplies, furniture, etc., liaise with suppliers, and maintain a comfortable and cozy office environment
HR Operations activities:
  • Manage local HR documentation and provide support on all related matters (contracts, certificates of employment, etc.)
  • Manage local health insurance program – enroll employees, provide analytics upon request
  • Closely interact with all non-sales departments (finance, administrative, HR) and providers (legal): check incoming documentation, work with contracts, perform initial reviews of contracts with contractors and vendors
  • Participate in HR process automation projects
  • Actively engage in developing corporate policies, procedures, and guidelines

What we expect:

  • Work experience in administrative or HR departments
  • General legal awareness and good understanding of local labor legislation
  • Ability to handle large volumes of information and quickly switch between tasks
  • Experience in building relationships with contractors and suppliers
  • Experience working with documents, data, etc.
  • People and service-oriented attitude
  • Focus on solutions and a systemic thought process with aptitude for analytics and learning
  • Advanced communication and collaboration skills
  • Conversational and professional level of English and Portuguese language proficiencies starting with B2+
  • Experience with Jira, Confluence, BambooHR, Excel will be a plus.
